Privacy policy
Numinos Oy ("Numinos", "we", "our", "us") provides intercultural communication coaching, workshops, and related digital products. This notice explains how we process personal data as the controller. This notice covers numinoscoaching.com and all of its subdomains (including, but not limited to, mexico.numinoscoaching.com and expatmexico.numinoscoaching.com), our published digital products (numinoscoaching.gumroad.com), and any tool or interactive product we release under the Numinos Coaching brand now or in the future — so this notice stays current without needing to list every product by name. 1. Why and how we use personal data
1.1 Website and tool visitors. When you browse our sites or use one of our interactive tools, we collect standard technical data (IP address, device/browser type, pages viewed) and, where you've consented via our cookie banner, behavioral data to understand how our pages are used. Legal basis: legitimate interest in running and improving our services; consent for non-essential cookies. Retention: until the browsing session ends, or per the relevant cookie's own duration.
1.2 Contact and booking enquiries. If you reach out via a contact form or book a call, we process your name, email, and message to respond to you. Legal basis: performance of a contract / steps taken at your request.
1.3 Newsletter and marketing. If you subscribe to our mailing list, we process your email (and name, if given) to send newsletters and offers. Legal basis: consent. Retention: until you unsubscribe.
1.4 Interactive tools (quiz and assessment results). If you complete Gap Finder, the Meaning Gap Profile, or a similar tool, your answers are sent directly to our mailing list platform and tagged to your contact record. We also keep an anonymous count of submissions on an internal usage dashboard, which cannot be linked back to your individual answers. Legal basis: consent. Retention: same as 1.3, for as long as you remain a subscriber.
1.5 Digital product purchases. When you buy one of our digital products, purchase and delivery are handled by our payment platform, which shares your name, email, and order details with us. Legal basis: performance of a contract; legal obligation for bookkeeping. Retention: in line with Finnish bookkeeping law (currently six years).
1.6 Coaching clients. For clients, we process contact details, scheduling information, and notes relevant to the coaching relationship. Coaching conversations are treated as confidential. Legal basis: performance of a contract. Retention: notes that identify you are kept for one year after the coaching relationship ends, then deleted. If notes are anonymized so you're no longer identifiable, we may keep them longer for training and methodology-development purposes. Contact/billing records are kept as required by Finnish bookkeeping law.
We do not knowingly process special categories of data (health, religion, political opinions, etc.) beyond what you may voluntarily share in a coaching conversation.
2. With whom we share personal data
We work with third-party apps and service providers to run our website, tools, and business — such as Google Analytics and Metricool (analytics), Plerdy (understanding how visitors use our pages), the Meta/Facebook Pixel (advertising), Trafft (booking/scheduling), Vbout (email and mailing list management), and Gumroad (payment and digital-product delivery). We do not sell your data.
3. Transfers outside the EEA
Some of our service providers are based outside the EU/EEA. Where that's the case, we rely on the safeguards those providers state they have in place in their own terms and data processing agreements, such as EU-approved standard contractual clauses.
4. Your privacy rights
You have the right to access, correct, delete, or restrict the personal data we hold about you, to object to processing, to receive your data in a portable format, and to withdraw consent at any time (e.g. unsubscribing from marketing emails). To exercise any of these rights, contact hello@numinos.co — we'll respond within one month. You may also lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutetun toimisto, tietosuoja.fi).
5. Cookies
Our website and landing pages use a cookie consent banner that lets you choose which cookies to allow. Only functional/essential cookies are on by default:
- Functional (essential) — required for the site to work.
- Preferences (optional) — remember your settings.
- Analytical and performance (optional) — e.g. Google Analytics, Metricool, Plerdy.
- Marketing (optional) — used to tailor ads and offers, e.g. the Meta/Facebook Pixel.
- Affiliate tracking — we participate in the Amazon Associates affiliate program (active or inactive at any given time); if active and you click an Amazon link, a tracking cookie may be set by Amazon.
You can change your cookie choices at any time via the cookie settings banner.
6. Social Media
If you visit our social media pages, we will be able to view your reaction (uploads, likes comments etc.). We will also have access to statistics, to access into your use of our pages on social media. Legal basis: The legitimate interest in having a page on social media, interacting with our members, and having insight into how our social media page is used. Retention period. We may occasionally erase content at our social media pages (including you’re uploads, likes, comments etc.). Otherwise, reference is made to the retention period of the social media in question. 7. Amendments
We may update this notice from time to time. The "last updated" date below reflects the most recent version. Material changes will be communicated to active newsletter subscribers by email.
